Confidentiali My name's Donna, where here's Victoria. Today we're going to be going over Orby Assets Management Contract Orientation. First of all I'm going to tell you a little bit about Orby as a company and the service that we provide. We provide build and maintenance for commercial and residential properties from general handyman tasks to large scale maintenance projects. At Orby we work with different companies across the UK that cover multiple services which can range from anything from building a house to simply changing a lightbulb. I'm now going to hand you over to Victoria who's going to go over what we're going to cover today in this orientation. So these are the things that we're going to cover today. So general health and safety, purchase orders, goods and payments, customer and client communications, libraries and insurance, contractors and subcontractors as well as intellectual property rights, copyright and non-compete. So firstly health and safety. Following the Health and Safety at Work Act 1974 we need to ensure you are health and safety trained to carry out any of your jobs with us. You must follow all health and safety regulations which you should know from your training and use at all times when working with us. You should also wear appropriate PPE and clothing to the job that you are assigned to do to reduce risks and ensure safety is a priority. You also need to ensure that the site is safe to work on which also links to my next point which is considering all health and safety risks and reporting anything back to us that we need to know as well as all the information about the job. Lastly ensure all equipment and tools are at a high standard and safe to use before carrying out any work. Also think about this when accepting the job from us and when purchasing materials. When it comes to purchases, so any purchase confirmations will come from us and we need to confirm before the purchase. We also need to sign off and verify all the goods including any extra costs that might come along. When it comes to payment, payment for all the goods and labour will be done within 30 days but we do need a proof of an invoice. All discounts must be shown on the quote before the go ahead and there will be an acceptance or rejection of the goods which will be sent from us via email before the purchase of the materials. We also need to see receipts of all the purchases and delivery and when it comes to damages, you are liable for the materials and goods when they're in your possession, therefore you need to pay for any damages or loss from your own expense. When it comes to delivery, we need to see a proof of delivery of the items you have ordered and you must consider the contractor's warranty when buying the goods. So all goods need to be up to the manufacturer's standards, free from any defects and the contractor, you as a contractor is liable for any repairs or replacement. When it comes to packaging and labelling, all goods need to be packaged appropriately to be transported to and from the job, protected from any damage and theft by being locked up safely and again you're liable when they're in your possession. All goods from the company need to be returned in the same condition and packaging. When it comes to dealing with chemicals and hazardous goods, all hazardous goods need to be marked by the contractor and all packaging should be labelled properly within the safety guidelines to the person receiving it. Also, you as a contractor need to be qualified to deal with certain chemicals or goods. When it comes to liability with the goods, again you are liable for the goods when they're in your possession, which we'll cover more in the next slide. And lastly, free issue materials. All goods and materials that are owned by LBR are property, therefore need to be returned in the same condition and packaging. Damage or disposal will come out of your own expense. Communication. All the asset management is the main and only point of contact. Communication is vital to this line of work. Everything and everything must come through us for confirmation regarding any work permit. For example, if you're late for a job that is booked in, we need to know so we can liaise with the homeowner. Also, any unforeseen purchasing that will affect the job's budget or the quotient, we are the people who will liaise with the client and us alone. We need to be kept in the loop on all decision making when it comes to any work to, again, liaise with the homeowner. All documentation is needed, receipts of purchase and subcontracting information, all work-related information and documents. We also request physical evidence of work before start and during and at the end of completion of work. This is for us to compile daily reports and keep good communication with the tenant, the policyholder. Also, non-compete. Within the contract, there will be a clause of a non-compete agreement, which means you will not be able to solicit a client for your own gain by obtaining work which will not be directly through all the asset management. Liabilities and insurances. All our contractors need to be fully insured with full PLI up to date. This is to cover any compensation and legal costs, property damage and injury. A minimum of £5 million in insurance is required. All training and statistics need to be up to date. We will need copies of these certificates for our records. Subcontracting. We do accept the contractors who subcontract work. All liabilities and insurance must be up to date as famous for yourselves. We need to be notified either in writing or via email. Subcontractors will also have to agree to our terms and conditions and our standard of work must be met. Confirmation from us will be needed before work commences. Lastly, intellectual property rights and confidentiality. All documents are confidential and should only be discussed between us and you as the contractor due to privacy reasons unless discussed otherwise. This again, as Donna has explained, communication. We are your first point of contact. Copyright and promotion materials, so any pictures or videos you take for your own personal gain or your portfolio need to be discussed with us and sent over to us for privacy reasons and confidentiality reasons.
